Amex Bulk Enrollment Setup Guide for Corporates

Introduction

This guide walks you through the process of setting up an American Express corporate card data feed to Astrada in order to enroll your card portfolio and share card and transaction data with your Spend Management Provider.

  • Step 1: Download and complete required documents
  • Step 2: Send completed documents to Amex
  • Step 3: Obtain your Recipient ID from Amex
  • Step 4: Provide Recipient ID to your Spend Management Provider

Step 1: Download and Complete Required Amex Enrollment Documents

To begin your Amex onboarding, you will need two documents that must be completed and submitted to Amex. Please download both forms below and follow the instructions to complete the desired sections

1.) Global Data Transfer Form
2.) Feed Implementation Form

Please note, both forms are already pre-populated with Astrada's information and you simply need to add your information and your Spend Management Platform's information.

Document 1: Global Data Transfer Form

Please complete the following sections:

Section 1: Client Information

  • Your Company Name
  • Company ID or Control Account Number

Section 2: Data Recipients -> Nominated Consolidator

  • The only subsection here that needs to be completed is "Nominated Consolidator". This section is asking for your Spend Management Provider's details. If needed, please ask your Spend Management Provider for the relevant information.

Section 3: Client Authorization

  • Signature
  • Date
  • First and Last Name
  • Job Title

Document 2: Feed Implementation Form**

Please complete the following sections:

Section A – Client Information

  • Entire Section

Section D

  • CID (2nd Column) or Control Account Number (Third Column)

Once the above sections are completed, please proceed to step 2.

Step 2: Send Completed Documents to Amex

When the desired sections for both the Global Data Transfer Form and Feed Implementation Form are fully completed, please complete the following:

  1. in PDF format, email the documents to: [email protected]
  2. In your email, request that you would like to begin the process of setting up a corporate card data feed with your Spend Management Provider via Astrada. Additionally, please state you would like the files to be delivered in CSV file format.
  3. Please CC the following contacts:
    • [email protected]
    • Your Spend Management Provider contact
    • Your Amex Relationship Manager (if applicable)

Including Astrada ([email protected]) will help expedite the process by ensuring any required steps are completed correctly and answering any questions Amex may have.

If both forms are successfully filled out as guided above, Amex will reach back and confirm receipt of the email, which begins the process on their end. In their response email they will note that the implementation will take 24-72 business hours to get completed and once completed they will send an email with all the details of feed.

Step 3: Obtain Recipient ID and Configuration Details from Amex

When configuration is completed by Amex, they will send a confirmation email containing a list of feed details. This may take up to 72 hours from the time Amex confirms they have received both forms in the previous step.

Within this confirmation, you will see a line similar to:

Recipient ID.........: XXXXXXX

This Recipient ID is required to activate your data feed.

Step 4: Provide Recipient ID to Your Spend Management Provider

Provide the Recipient ID to your Spend Management Provider in the following format:

"RXXXXXXX"

(Example: If Amex provides Recipient ID.........: 1234567, you should share R1234567.)

Your Spend Management Provider will then use this identifier to finalize the configuration on their end. Once complete, cards from your program will be enrolled and transactions will begin flowing within the following couple of days.
