File Delivery Configuration
Step-by-step guide to configure Astrada for file delivery on Smart Data Manager
Step 1: Create File Delivery Request
Navigate to Request Creation
Navigate to: Activities → Create Request → To Defined End-Point
This path creates a new file delivery request that will send transaction data to Astrada automatically.
Step 2: Select the Entity
a. Enter a Request Title - The title should help you locate and identify the request later.
b. Enter a Request Description - The description should be meaningful to you and your team.
c. Bill to ICA - This field becomes available once an entity is selected.
d. Use the Drill Down icon to navigate and find the entity you are setting up.
e. Use the Add icon (+) to select the entity. It will appear in the "Selected Entities" section at the bottom of the screen.
f. Click Next to proceed to vendor selection.
You can select multiple entities if needed. Each will appear in the Selected Entities table with Parent Name, Issuer Name, Client Name, Organization Name, and Account Name columns.
Step 3: Choose Vendor & Format
Select Astrada as the receiving application:
- Vendor Name: Astrada
- Application Name: Astrada
- Application Type: Hosted or Licensed
- Format: CDF v3 Release 2201
Step 4: Configure Delivery Options
4A: Frequency
Set Frequency to Send File to On Receipt
4B: Record Selection
Financial Data: Check "Include Future Updates" (Required for Astrada)
Hierarchy: Check "Include Corresponding Account Information Only" (Uncheck "Include Maintenance Only Hierarchy" first)
4C-4E: Filtering, Masking, Notifications
These are typically not needed unless specifically requested by the client.
4F: Data Initialization
Select Yes for initialization data file with Active Hierarchy Records and Historical (90 days if needed)
The setup for Astrada is automated. You will receive a confirmation within two hours. Once completed, you will be notified via email.
Step 5: Activate and Provide File Delivery ID
Wait for Astrada to be ready before activating the file delivery. The File Delivery ID is used to locate client info.
Navigate: Activities → View → File Deliveries
Locate the file delivery in Pending status
From the Action menu, select Activate File Delivery
Provide the File Delivery ID to the Client or to Astrada directly

Who is Astrada and how do they work with the networks and the Spend Management Platform?
Astrada enables Spend Management Platforms to securely and safely access real-time transaction feeds on behalf of the corporate and its cardholders. Astrada connects directly to major card networks and delivers normalized, real-time transaction data to their Spend Management Platform customers. This enables real-time expense reporting, faster reconciliation, and enhanced user experiences within the Spend Management Platform.
Astrada is PCI DSS Level 1 compliant and operates in accordance with its providers' (e.g., Payment Networks) and customers' (e.g., Spend Management Platforms) security, privacy, and compliance requirements. Astrada undergoes regular independent third-party security assessments and maintains industry-standard certifications appropriate for the processing of sensitive payment data.
What specific data fields are shared with the Spend Management Platform through Astrada?
Astrada delivers authorization and clearing data fields that businesses need to manage spend through their Spend Management Platform. This includes a core set of authorization data (e.g., merchant name, transaction amount, date) to power real-time purchase notifications, as well as clearing data comparable to standard bank and network clearing files.

Does corporate and cardholder consent need to be obtained before enrolling a company? If so, whose responsibility is that?
Yes. Astrada works with each Spend Management Platform (Astrada's customer) to ensure that proper disclosure and consent are incorporated into the end-user experience, user terms, and privacy policy. The corporate and its cardholders consent to sharing data with Astrada and the Spend Management Platform and to allowing the payment network to facilitate the data sharing.
Astrada reviews and approves each program — including the UX, user terms, and privacy policy — before allowing it to launch, and conducts regular audits thereafter.
Does this work for all commercial card products (purchasing, corporate, fleet, virtual), or only certain ones?
All corporate and commercial card products that participate in the Payment Network's commercial platform are eligible.
